Insider tips to form your dream supplier squad

How is wedmin going?! We know wedding planning can feel magical, but it can also feel like a lot. So a quick reminder before we delve into this week’s newsletter to say you are doing an amazing job and it will all be worth it!

Even if your to do list is still a mile long. Even if you feel behind. Even if planning is causing you to fight with your fiancé all the time and question why you’re even getting married (let’s face it, we’ve all been there!) Even if you changed your mind on the decor colour scheme for the fourth time this week. You are still smashing it! Right… pep talk done. Let’s get into today’s topic - the people who will become extremely important in your wedding world…suppliers!

Florists, planners, photographers, venues, cake designers. The dream team bringing your day to life. It can all feel really overwhelming, so let’s work through it together:

First thing - The earlier you book your key suppliers the calmer you will feel. Have you had your heart set on a certain MUA or DJ (or planner 👀) since before you were engaged? Get in touch with them and book ASAP, trust me on this, they get booked up quickly...especially for the peak months. There’s nothing worse than feeling you’re settling for suppliers, because they make or break your day

Second. Be honest about your budget from the start. Suppliers are not judging you, they are trying to help you. When they know your numbers they can tailor ideas that actually work rather than tempting you with things that will only stress you out later. They will also be honest and let you know if they fit within your budget and avoid you wasting time.

Third. Read. The. Contract. I mean let’s be honest, contracts are long, so it’s easy to just sign and hope for the best. But you will thank yourself later when you’ve avoided any hidden costs from additional hours, team members or services you had no idea about! Remember to note:

  • Payment schedules - when are payments due and how much is due. Map these out so you are not hit with all the big invoices at the same time (FYI they mostly seem to come the week before the wedding!)

  • Overtime fees - check what happens if your wedding runs late. Is there an hourly extra fee for individual suppliers?

  • Set up and pack down times - venues and decor stylists will specify how long they need to install and remove everything, make sure this fits into your venue access windows!

  • Cancellation and postponement terms - we hope you don’t need to use this but unfortunately thing’s might happen out of your control, familiarise yourself with whether payments will transfer, is there a cancellation/postponement fee?

  • Photo and video - check usage rights and image permissions, check how many edited videos you are getting, album inclusion, video length, drone footage, possibility for on the day edits in advance.

Fourth. Trust the experts you hired. You chose them for a reason. If your florist suggests a flower swap because of seasonality or your planner adjusts a timeline, it is always to get the best for you for your special day!

Fifth. Feed your suppliers. This is the one couples always forget. Many suppliers won’t stop working all day… a hot meal keeps energy high and creativity flowing. That means including them in your head count for food, or if you want to be extra sweet like some of our 2025 couples, making little snack bags for them to keep going during the day! I cannot stress this enough- looked after and appreciated suppliers will go ABOVE AND BEYOND FOR YOUR WEDDING. I’ve seen the difference at so many weddings with suppliers who feel appreciated and suppliers who don’t.

And my favourite secret of all. The best weddings happen when couples and suppliers feel like a team. Share your story, your vibe, your vision, your priorities. The more they know you, the more personal magic they can create. You know you’re doing something right if by the end of your wedding they feel like your friends (Case in point 👇🏼)
